Question: I've seen many of my friends in their employment that they were scheduled with multiple meetings at a time and few of them overlap and were made mandatory to attend, it's obviously not possible to be attentively present in more than one meeting and they request their team lead or manager regarding this, But in my opinion it is the work of HR to manage such scheduling and why do they face such a challenge?
Answer: You are Very Much Correct. It is happenning particularly in New Age Industries.
It looks like a HR Problem.
However, if we really want to Resolve this Issue: Use an IT Tool such as Microsoft Calendar or Google Calendar.
Also the Calendar should be shared/used among all Team Members, so that the Conflicting Schedules can be Resolved; first technically according to the Number of Hours in a Day.
Next, Every one should Adher to the Resolved Conflicts by the Calendar Tool.
One Best Practice here is, Each Cell in Calander (Specific Hour), Should Have Unique Meeting (Only One Meeting); this can be done at Tool Admin Level.
However, it is not done mostly because of business reasons. That is, Projects are based on Contracts Having Fixed Time, Fixed Price, Budget Limitations. Hence, Every one in Team Tries to keep things on track in Project from their end, leading to Overlapping Schedules.
Here, the Problem is Customer has Limited Budget; Performing Organization has both time pressure, budget limits, resources pressure and in addition contractual obligations/penalities in case of contract violations/non-performance.
Because of all these reasons, Overlapping meetings are happenning in Industry.
To Handle this systematically:
a. One is to Fix this issue at Tool (automated calendar) level.
b. Let us, Customer not Over Expect from his side; and Let us, not Over Commit from Performing Organization side.
Unless, we take these steps, we need to live with this overlapping meetings issue in our industries.
It is not the case with single industry or single country. It is the Global Phenomena.
Best Wishes.....
Examples: All Knowledge Based, New Age Industries are Experiencing this Phenomena.
See One Suprising thing here is, in Education Sector, we are not keeping Two Classes at the same time to a Single Batch of Students in a day, right, in an Educational Institution. Hence, this is not happenning in all industries. However it is experienced in high networth industries.
